Top 10 Questions to Ask Before You Outsource Your Investor Experience

By Dan Blasi

We can all agree that private markets have grown faster than the infrastructure built to support them. As GPs add vehicles, jurisdictions, and investor types, many are re-evaluating their infrastructure, whether that means signing with a provider for the first time or moving away from a legacy solution they’ve outgrown.

The right questions that need asking rarely come with just one right answer. But asking them can determine whether a platform becomes an asset or a constraint. Here are ten worth asking and the ones that the most seasoned teams tend to ask, along with how Helm approaches each one.

If you're renewing a contract or picking a partner for the first time, ask these before you sign, not after.
‍
1. Whose brand do my investors see on their statements and portal?

Yours. Helm’s platform runs on a domain you pick, sends system emails from an address you choose, and puts your brand on investor reports, capital call notices, and statements. That's just how it's set up when you onboard and not something you have to ask for or pay extra to get.

2. Can I export my full investor dataset whenever I need it, in a format I can actually use?

Yes. Legally, you're the Controller of your investor data and Helm is the Processor. This means we handle it on your instructions, not the other way around. In practice, that means you can pull your full dataset whenever you want it: for an audit, a regulatory request, etc. While the software itself isn't yours, your data is. That's the part that actually matters to your investors.

3. What happens to those relationships if I ever switch providers or go in-house?

They stay yours. We're infrastructure, not a player in your investor relationships.

4. Does the platform let me remarket directly to my own investor base, or does it sit between us?

Since the relationship and the data are already yours, remarketing to your own base isn't something you need permission for. You own your list. The platform also lets your team see how investors are engaging with specific opportunities, so you're not reaching out blind.

5. If I launch a new vehicle or move to a different platform, does my investors' onboarding data carry over, or do we start from scratch?

Inside Helm, it carries over. New subscription docs pull from an investor's existing profile and past product information automatically, so nobody's re-collecting KYC and paperwork every time an existing investor commits to something new.

6. Once onboarding is done, who actually keeps the KYC/AML record, me or the platform?

You do. We automate the AML/KYC checks, but the compliance obligation — registrations, recordkeeping, the regulator relationship — is yours. If you’re working through structuring a vehicle and want to talk through how we can help, that’s worth raising with us directly.

7. How fast can I get a capital calls or distribution sent?

Capital calls and distribution notices get generated right on the platform, and the money movement itself runs on Interro — purpose-built payment and reconciliation infrastructure for private markets. It's faster, more efficient, and less prone to manual errors.

8. Can my team see live engagement data, who's actively interested, who's gone quiet?

Yes. Your team gets an embedded analytics module that shows how investors are actually engaging with specific deals, so you can prioritize outreach based on what's happening right now instead of guessing off what happened at first close.

9. If I outgrow this platform, how hard is it to leave?

Easier than on most platforms, because you're not starting a data-extraction project from zero. We give you a defined window after our relationship ends to pull everything out before disposal, with the exact terms set out in the data processing agreement.

10. How much can I actually customize workflows to fit how my team already works?

Workflows and approvals are configurable opportunity by opportunity; forms are built with drag-and-drop tools rather than fixed templates; and roles, permissions, and system emails are configurable rather than one-size-fits-all. The point was never to make you adapt to Helm, it was to make Helm adapt to how your team already runs.

The best time to ask is before you sign

Whether you're evaluating a platform for the first time or deciding whether to renew, asking these ten questions, along with everything else that’s important to you, will make all the difference to your data, your brand, or your investor relationships.
